Summary:
In the Administrative Assistant II position, you will assist the Associate Director (AD)/Executive Assistant (EA) with responsibilities including recruitment, maintaining employee files, answering benefits and payroll questions, accounting functions, and other business operation duties.
Dealing with confidential matters requires a commitment to discretion, which is essential for maintaining professionalism and trust within the organization.
You will assist the community managers with recruitment and will also work alongside the Director of First Impressions by assisting residents, family members, or visitors.
This position requires self-motivation, active thinking, strong organizational skills, and attention to detail to maintain organization and consistency within the organization.

ESSENTIAL DUTIES AND
Responsibilities:

Other duties may be assigned by your direct manager.
Regular and predictable attendance is an essential function of the job.
Helps to maintain and set up file cabinets with employee-related items, payroll folders, and benefit information and checks that the information is on file at all times.
Sets up employee files as directed by AD/EA while purging and maintaining old files in the storage closet.
Checks that first aid certification, required licenses, and I-9s are current.
Maintains the First Aid list and sets up First Aid class monthly.
Maintains the HR storage closet as needed, keeping the boxes and records organized and in order.
Organizes and maintains resident files and files correspondence and other records.
Locates and attaches appropriate files to correspondence to be answered by the employer.
Assists with Recruitment that includes utilizing the ATS, phone screen, pre-employment tasks, and onboarding.
Provides daily breaks for the Director of First Impressions as well as filling in as a backup when needed.
Updates emergency contact binders and OSHA binders at the front desk.
Oversees office supplies and equipment in the admin room (ex:
paper, printer ink, pens, etc.
) and assists with arrangement for equipment maintenance.
Dresses appropriately per company standards for professional front desk presentation.
Participates in monthly safety committee meetings and safety walks.
Does monthly Certificates and Birthday cards for staff gatherings.
Helps with various community functions and sales events as needed.
Assist with resident billing and process check payments as directed by AD/EA.
Attends all assigned training as required by the community and the Department of Social Services (DSS).

EDUCATION and/or EXPERIENCE Minimum of high school education or GED or combination of related experience.
Experience is preferred, but not necessary.
COMMUNICATION SKILLS Ability to read and comprehend simple instructions, short correspondence, and memos in English, so as not to jeopardize the safety and well-being of the residents.
Ability to communicate with residents, and effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Remain professional and respectful, and interact with our customers - including residents, family members, and all staff members - according to the concepts identified by the Carlton Way.
Must be able to use technology, such as company-provided phones and tablets, to communicate among staff on resident needs.
CERTIFICATES, LICENSES, REGISTRATIONS Must be authorized to work in the United States of America and provide sufficient work authorization documentation(s).
DOJ and FBI fingerprint clearance must be completed before working in the community (obtained through the community) Health screening/Physical and negative TB test must be less than six (6) months old (obtained through the community) First Aid/CPR Certification (obtained through the community).
Estimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
